In a lot of B2B trade, the order process is an email thread. An employee needs a jacket, asks a manager, the manager emails the supplier, the supplier asks about sizes and the logo, someone sends a PDF, and an invoice turns up later. Every order is a small project.

Profil Design Trading supplies workwear with the customer's logo. We built the platform that replaces that thread.

A private shop for every customer

Each customer company gets its own shop with its agreed range and prices. Employees see only what their company has agreed to, at their company's price. There is no price list to email around and no wrong item to correct later.

Budgets and approvals instead of back-and-forth

  • Employees order for themselves within their clothing budget.
  • Orders over the per-order limit go to the company admin, who approves them in one click.
  • The logo is produced to the company's spec, for example left chest, embroidery, 80 × 35 mm, PMS 186 C, so every order comes out the same.

Budgets and limits are where B2B differs from a normal web shop. The person who orders, the person who approves and the person who pays are often different people. Putting those rules into the platform is what removes the emails.

From approval to invoice

Once an order is approved, the rest follows the same path every time:

  • Profil Design Trading prints or embroiders the logo to the company's spec.
  • The order ships with GLS, and the employee follows it from approved to delivered.
  • The invoice lands in e-conomic, the accounting system, without being typed in again.

Integrations are where most of the value sits. Payments run through Stripe, shipping through GLS and accounting through e-conomic, so nobody copies an order from one system to the next.

What to plan for in a B2B portal

If you are replacing email orders with a portal, answer these questions early:

  • Who can order, who approves, and above which amount?
  • Does each customer have its own range and prices?
  • Which systems already hold the truth: accounting, shipping, stock? Connect to them instead of replacing them.
  • What does an employee need to see after ordering? Status updates stop the "where is my order" emails.

Finding the customers in the first place

A portal helps you serve the customers you have. For finding new B2B customers, CVR-MATE shows another side of the same idea: it matches new companies in the Danish business register to your ideal customer every morning, and carries the deal through a pipeline from quote to order. We wrote more about it in Human-in-the-loop AI.
